Scanner

The Economics Department has a scanner workstation with high-end HP scanner and automatic feeder. The equipment is located in the main office. Users can scan documents and import their content into a computer file using OCR software. The workstation also has PDF writer so that you can convert scanned images or text into PDF files. Instructions on how to use the scanner are posted at the work station desk. Step by step instructions are also given below.

Scanning a Document for Use with a Word Processor

To scan the contents of a document into a word processor such as MS Word or WordPerfect, follow the following steps:

  • Double click "OmniPage Pro" on the Desktop (or click: "Start," "Programs," and "OmniPage Pro"). Note: Make sure that you do not have HP PrecisionScan Running.
  • Insert the document into the feeder or put it on the glass panel. Note: Do not put more than 30 pages into the feeder at one time.
  • Click: "AutoOCR" button.
  • Select the proper setting: Document Source, Original Layout, Output Format, and Export Destination. The default setting will work fine for most jobs.
  • Click "Start" (green button).
  • Make the correction as the software asks for human assistance. You can just click "Close" to correct it later.
  • Specify the file name, location, and file type (MS Word or WP, etc.) Click "OK."
  • If you have to add more pages, insert the additional pages into the feeder or put an additional page on the glass panel. Click "Additional" (green button). Then, click "Add more pages."
  • Select the same file and click "OK."
  • If you are done, you can close the software or click "File" and "New" to start a new document.

Scanning in Color

To scan a picture follow the following steps:

  • Double click "HP PrecisionScan Pro 3.02" on the desktop (or click: "Start," "Programs," and "HP PrecisionScan Pro").
  • Place the picture face down onto the glass (do not use the feeder).
  • Click "Start a new scan" on the left side of the HP PrecisionScan Proportion software window.
  • The scanner will warm up and pre-scan the whole glass panel. The pre-scanned image appears on the right side of the HP PrecisionScan Pro portion software window.
  • Use the cursor to draw the selection area that you wish to be scanned.
  • Use the menu and toolbars to adjust the picture, e.g., to rotate the picture or to change the resolution. The default resolution is 200dpi, which is good for general usage such as web publishing, etc.
  • Click "Save as." In the "Save as" dialog box, specify the name and the location where you would like the scanned file to be created and select the type of the file format (we recommend choosing "JPEG Image").
  • Click "Save" and the scanner will start the scanning process.
  • You can repeat steps 3 to 8 to scan more pictures.

To view adjust the size of the scanned pictures, you can use "Imaging" software.

  • Click "Start," "Programs," "Accessories," and "Imaging."
  • Click "File," "Open," and select the scanned image file from the location where the image was saved to.
  • Click "Open" and make the desired adjustments.

WARNING: To avoid losing your files, always save the scanned image to the D-drive or your network drive (such as the I-drive or T-drive).

NOTE: If the HP PrecisionScan Pro 3.02 does not start, log off and re-log in.

Scanning a Document Containing Text and/or Image to a PDF File

To scan a document containing text and/or graphic images, and to save the information as a PDF file, follow the following steps:

  • Double click on "HP PrecisionScan Pro 3.02" on the desktop (or Click: "Start," "Programs," and "HP PrecisionScan Pro").
  • Insert the papers face up into the feeder on the top of the scanner. (Make sure you do not have anything on the glass panel.) Do not feed more than 30 papers into the feeder at a time. The software will automatically detect that you will use the Automatic Document Feeder (ADF).
  • In the dialog box, select "Text & Image" as Output Type, and select the appropriate paper size (the default is Letter).
  • Click "Scan."
  • In the "Save as" dialog box, specify the name and location where you would like the scanned file to be created and select the type of the file format as PDF.
  • Click "Save" and the scanner will start the scanning process.
  • If the paper is more than 30 pages long, keep inserting additional pages into the feeder and click "Scan" on the dialog box that asks "Scan another page into the current document?" until you have finished the whole document. Then click "Done."
  • Use Acrobat 5.0 to see the scanned PDF document. Click: "Start," "Programs," "Adobe Acrobat 5.0," and "Adobe Acrobat 5.0."
  • In Acrobat, click "File," "Open," select the scanned PDF file from the location you saved the file to, and click "Open."

NOTE: If the HP PrecisionScan Pro 3.02 does not start, Log off and re log in.
