Payroll

• Maintain payroll, contract, benefit, and immigration records and official documents for all faculty, staff, funded graduate assistants, lecturers, and undergraduate hourly employees
• Organize annual renewal of all tax and payroll related forms for Non-Resident Alien faculty and graduate assistants
• Process J-1 VISA requests for visiting scholars and faculty
• Run WOW (Warehouse on the Web) reports to monitor and maintain the accuracy of all appointments, funding sources, salary additions, time entry records, and leave balances
• Monitor salary rollover figures (at the turn of the fiscal year) for Economics, INFORUM, and the IRIS Center
• Investigate, track, and record funding sources for graduate assistants and faculty
• Organize and record funding data, in Excel, to be used by other faculty and staff members for decision making purposes
• Assist new hires (Faculty, Staff, and Grad) in completing initial payroll and benefits paperwork
• Initiate Academic Resource System appointments for Economics, INFORUM, and the IRIS Center
• For Economics, INFORUM, and the IRIS Center: enter all payroll appointments and changes into the Payroll and Human Resources system, verify the accuracy of payments made, and adjust payments when necessary
• ***(ARS is a computer system which is used to appoint an employee to a position. PHR is a completely separate computer system which is used to pay that individual for the work he / she has performed during the appointment period.)***

Summer and Winter Terms

• Organize, process, and track all summer and winter pay and research appointments for faculty and graduate students, including creation of ARS and PHR appointments for each person with a summer / winter assignment
• Generate and collect teaching contracts and build ARS appointments for summer and winter term teachers
• Apply for overload approval from the Graduate School for all international students who are being paid on an academic year assistantship while being paid for winter work
• Submit hourly labor cost information to Office of Extended Studies

Benefits

• Convey benefits and retirement information to new and existing employees
• Serve as Departmental liaison to the Campus Benefits Office
• Organize yearly open enrollment process
• Process tuition remission applications in the Electronic Forms System (ELF) for graduate assistants and other eligible recipients

Account Reconciliation

• On a monthly basis, reconcile state, revolving, DRIF, Foundation, summer school, instructional materials, plant fund, and fellowship accounts
• Collect and retain documentation of / receipts for every transaction that hits the aforementioned accounts and organize them in such a way that any transaction may be easily researched / justified
• Maintain payroll tracking / planning records for Director of Administrative Services to use in budget calculations and projections

Fellowship / Award Payments

• Process and track fellowship payments
• Establish AID ID numbers and pay out departmental awards / scholarships
• Request reimbursements from the University System of Maryland and the University of Maryland College Park Foundations

Management

• Serve as "back-up" to the Director of Administrative Services including performing Director's duties in her absence
